AI Usage and Transparency Policy

The Journal of Precision Medicine and Artificial Intelligence (JPMedAI) is committed to responsible, ethical, and transparent use of Artificial Intelligence (AI) tools in its editorial and publishing workflows.

Purpose of AI in Workflows

AI tools (including large language models and automated text-processing systems) may be used by the Editorial Office to support the following tasks:

  • Extracting and structuring metadata (titles, abstracts, keywords, author affiliations, ORCIDs).

  • Identifying missing information in submissions (e.g., ethics statements, funding acknowledgements).

  • Language support and copyediting assistance to improve readability.

  • Formatting references and detecting missing identifiers (e.g., DOIs).

  • Drafting technical files such as XML/JATS for indexing databases.

  • Assisting in typesetting and preparing galley proofs.

  • Generating standard communication templates (e.g., reviewer reminders, decision letters).

Human Oversight

  • All editorial decisions (desk rejections, acceptance, peer review evaluations) are made exclusively by human editors and never delegated to AI.

  • Peer review reports must be authored by human experts. AI tools cannot be listed as reviewers or co-authors.

  • Final versions of copyedited manuscripts, galleys, and metadata are always verified and approved by human staff before publication.

Data Protection and Privacy

  • Author and reviewer data are handled in compliance with the General Data Protection Regulation (GDPR).

  • AI systems are not provided with personal or sensitive data unless data-processing agreements (DPAs) and secure storage requirements are met.

  • The journal is progressively working toward using locally hosted, GDPR-compliant AI systems to further safeguard author information.

Transparency and Disclosure

  • Authors are informed that AI tools may be used internally for technical support tasks.

  • Any changes made by AI tools (e.g., language polishing, metadata structuring) are reviewed by human editors.

  • If an author uses AI tools in the preparation of a manuscript, this must be disclosed in the cover letter and acknowledged in the manuscript, in line with COPE and ICMJE recommendations.

Compliance

This policy ensures alignment with the standards of:

  • COPE (Committee on Publication Ethics)

  • ICMJE (International Committee of Medical Journal Editors)

  • DOAJ (Directory of Open Access Journals) Principles of Transparency

  • Requirements for indexing in Scopus, MEDLINE, and Embase
